Reply to a buyer's request

A visitor to your website writes to you about an artwork. Their request arrives in your Messages with their address, the artwork and its price: you reply, and the day you agree, the proposal prepares itself from their request.

Open “Messaging” In your artist space.

Before you start

Screen 1 · Messaging

In the menu, open Messaging: the Received requests tab is displayed. Click the request. An orange bar and the New label mark those you have not dealt with yet.

Screen 2 · Purchase request

Read the request: who is writing, about which artwork, at what price it was displayed, and their message.

An open request: the buyer's name and e-mail, the artwork concerned with its price at the time of the request, and their message.

To reply, click Reply by email: your usual mail program opens with their address, the subject and their message already quoted. Writing from a webmail? Copy address, then paste it into a new message.

Top right, click the New label and choose In discussion. You are the one who says where the request stands: nothing changes by itself.

You agree on the artwork and the price? Click Make a proposal.

Screen 3 · New proposal

The form opens already filled in from the request: the artwork and its price in Proposed artworks, the buyer's name, e-mail and phone in Buyer and document. Correct the price if you agreed on another one.

Further down the same form, the buyer is already there:

At the bottom, click Create the proposal. Nothing is sent to the buyer yet.

Done

The proposal is created and its sheet opens: all that remains is to send it with Send by email, as explained in Send a sale proposal. The artwork becomes Reserved for this buyer. The request keeps the View sale button to find the proposal in one click, and becomes Sale created when the payment arrives.

And the request now points to the sale:

What if…

The request will go no further?

If you replied and it is settled, set it to Handled. If nothing comes of it, Cancel this request, at the bottom of the page: it leaves the list and can be found in View archives.

It is a custom artwork request?

Same path. The request is marked Custom artwork, with the size and dimensions wanted, and the proposal opens in Custom commission mode: you describe the agreed artwork, its price and the deposit. Where these requests come from: Add the “Custom artwork” page to my website.

The buyer has already paid, at the studio or by bank transfer?

No proposal needed: click New sale. The sale opens with the artwork and the buyer already filled in, and the request becomes Sale created at once. The rest is in Record a sale and send its documents.

Keep a record of what was said?

Under the request, unfold Internal notes: a price mentioned on the phone, a date to call back. Only you can see them.
